Spring 2023 Volunteer Sign-Up Sheet

Family involvement is critical to SHHS Crew - it is not hyperbole when we say there is no crew without family volunteers. The SHHS Crew Parents Board members are volunteers who donate their time to ensure that SHHS Crew runs efficiently and safely. But that is not enough — without the time and effort from all families, there is no way to compete.

To ensure an equal distribution of work, and an enjoyable crew season for spectators and rowers alike, SHHS Crew Parents ask each family to volunteer every season. Ideally, each family would take on either one season-long position or volunteer for three or more single-event jobs. No matter your schedule or situation, there is a way for you to help out. 

If you are volunteering at a regatta, you will NEVER be expected to miss your student-athlete in a race. Having lots of help means someone can step in while you cheer.

Alumni Coordinator (all season):
Maintain alumni database, work with Fundraising Chair on alumni solicitations, send newsletter to alumni 2x per year.  

Awards and Posters Coordinator (single-event job):
Coordinate and acquire end-of-year awards and posters with the coaches/school. Work with the End of Year Party Coordinator to plan the awards ceremony. 

Chuckwagon Driver (all season):
This job requires a pickup truck or equivalent vehicle capable of pulling the trailer that transports tents, tarps, food supplies, a propane grill and cookware. The SHHS Crew Parents compensate for gasoline to/from regatta sites as well as a hotel room. You will pick up the chuckwagon at the boathouse, drive it to the bus location to load the coolers & bins before delivering it to the regatta site. After the regatta return it to storage at the boathouse.

End of Year Party Coordinator (single-event job):
Reserve Horseshoe Lake Park, send invite and SignUp Genius for food donations, order and pick up cake. Work with the Awards Coordinator to plan the awards ceremony.

Equipment Manager (all season):
Inspect and organize equipment at the beginning of the season and throughout the season. Coordinate repairs for boat shells, trailers or other equipment. Keep an inventory of equipment and tools and work with board to budget for any needed repairs or replacements. Let Propane Filler know when the tanks need to be refilled. 

Erg Room Monitor (all season or as needed):
Monitor the athletes in the erg room either at the Boathouse or high school. A Pupil Activity Permit through the Ohio Department of Education is required

Food Capitan (single-regatta job):
Act as primary point of contact for any questions about food for the week of the regatta. Be the drop off point for all food collection (you will need ample refrigerator space). Purchase ice and pack all food into coolers and bins then deliver to the chuckwagon. Oversee setup of food tent and preparation of food at regatta site.

Food Crew Volunteers (single-regatta job), at least 3 needed per regatta:
Help with setup of food tent, cook food, clean up, deal with trash and leftovers, help with site tear-down. Early arrival needed for the breakfast crew. 

Food Lead (all season):
Create food plan for each regatta, send out SignUpGenius for food donations before each regatta, coordinate cleaning of coolers and carafes between regattas, work with Food Capitan on the food collection plan for each regatta. Make sure kitchen equipment is clean and sanitized between regattas, keep a chuckwagon inventory and shopping list of non-perishable items needed. Coordinate Food Crew Volunteers. 

Hotel Chaperones (single-regatta event):
Check rowers into their rooms using the provided rooming list. Perform room checks at the hotel before lights out. 

Lend-A-Tent Coordinator (all season):
Manage reservations for the lend-a-tent fundraising program. Work with the Treasurer for billing and collections. Work with the team to coordinate set-up and tear down times. During the rental season, store tents at your home and work with the Equipment Manager on any repairs needed for tents. 

Memorial Day Parade Coordinator (single-event job):
Register the team to participate. Arrange trailer driver, organize rowers to participate, organize candy donations. Work with student-athletes on decorating trailer.

Middle School Recruiter (single-event job):
Organize a rower recruiting event at Shaker Heights Middle School.

Propane Filler (all season):
Gather propane tanks from the boathouse and refill as needed. Return them to the chuckwagon prior to each regatta. SHHS Crew Parents reimburses for the cost of propane. 

Regatta Timer (single-regatta job):
SHHS Crew is responsible for all timing at the annual Head of the Cuyahoga Regatta in the fall. We need approximately 10 volunteers to work in each of the timing tents at the starting line and the finish line. Shifts are generally 4 hours. 

Shaker Sports Booster rep (all season):
Attend all Shaker Sports Booster meetings as a representative of the SHHS Crew Team. Act as an advocate for the crew team’s needs, and report Booster news back to the crew parents. 

Summer Novice Camp/Learn-To-Row Coordinator (single-event job):
Organize novice camp for incoming novices during the summer, if there is capacity and interest, organize a learn to row camp for 7th-8th graders. Collect waivers and payments from rowers. Arrange an adult to ride the bus to and from the CRF boathouse.

Travel & Logistics Coordinator (all season):
Register team for regattas on advice of Head Coach. Organize hotel reservations and room assignments for each regatta, work with SHHS Athletic Office to secure transportation to each regatta. Send travel itineraries to coaches, Board members, and parents via TeamSnap.

Uniform & Spirit Wear Coordinator (all season):
Work the SHHS Athletics to order novice shirts and racing singlets for new rowers, including collecting payments and arranging delivery. Work with Fuzion Sports to create an online store of Raider Rowing branded merchandise 1-2x during school year. Coordinate the order of Stevenson splash jackets for upperclassmen.
